Data rights and deletion

Four things you can ask for: what we hold, a correction to it, a stop on further processing, and its deletion. With one exception named under Deletion, every one of them is actioned by a person, by hand rather than by a button — and this page describes what actually happens rather than what would sound better.

How to make a request

Email bkarraa@opsbackroom.app. Say which of the four things below you want and which business or connected account it concerns. We aim to respond within 30 days.

We may need to check that the request comes from someone entitled to make it — usually by replying to an address already authorised on the account. We ask for no more than is needed to be sure, and we do not require a copy of any identity document.

Access — what we hold

Ask and we will tell you what is stored for your business, and supply a copy. The Privacy Policy sets out the categories in full; a request returns the actual records rather than the description.

Correction

Three different things get corrected three different ways, and the distinction matters because we are not the source of all of it:

  • What someone typed in. Notes, cost inputs, creator records and business settings are edited in the dashboard by anyone you have authorised. Where the product gives you an editor, you do not need us.
  • What a platform reported to us. Order and social figures are a copy of what Shopify, Instagram or TikTok returned. We can correct our copy on request — but we cannot change what the platform reports, and a later sync will bring back whatever it says. If the figure is wrong at the source, correcting it there is what makes it stay corrected here.
  • Account details. The email address or display name on a sign-in. Email us and we will change it.

Restriction — stopping processing without deleting

You can ask us to stop processing while keeping what is already held. We action it by disconnecting the connected accounts, which stops collection and stops any new analysis being derived. What is already stored stays exactly as it is until you ask for deletion.

You can also do the collection half yourself, immediately and without involving us, by revoking Ops Backroom's access in your Instagram, TikTok or Shopify settings. That stops new data arriving; for Instagram and TikTok it does not remove what has already been stored, and it does not by itself constitute a restriction request. Shopify is the exception: uninstalling the app makes Shopify send us a shop-data erasure request 48 hours later, which we action automatically — so a Shopify uninstall is a deletion, not a restriction.

Deletion

Email bkarraa@opsbackroom.app and we will carry it out manually against the database. One store is the exception: an imported conversation archive can be removed, restored, or permanently deleted from inside the product by the person who imported it — see the Privacy Policy, “Imported conversation archive”. For everything else there is no self-serve deletion button in the product, so a request is work someone does rather than a feature you trigger. We aim to complete it within 30 days.

Two things survive a deletion, and both are disclosed rather than discovered afterwards. Records an authorised person created — a note they wrote, an inventory movement they logged — remain, with the authorship reference cleared, because removing them would silently restate historical figures a business has already acted on. And anything we are legally required to retain is retained; we will say so if that applies to your request.

Removing a person's sign-in access is immediate and does not wait on any of the above.

If you bought from a business that uses Ops Backroom

Your request belongs with that business, not with us. Ops Backroom is a tool they use, and they decide what happens to their data — we act on their instruction.

It is also worth knowing how little there is. Our automated ingestion never writes down a shopper's name, email address, phone number, billing or shipping address, or payment details. What is stored against an order is the pseudonymous identifier the sales platform assigned, which we cannot resolve to a person — it exists only to tell a repeat purchase from a first one. If a business asks us to remove it, we do.
